Buyer's guide

Comparing school software here is mostly about the pricing model.

Every vendor's feature list looks the same on a Tuesday afternoon. What differs, and what you will still be living with in three years, is how the price behaves as the school grows, who touches your fee money, and whether a parent can answer their own question without phoning the office. This page is the comparison we would want if we were buying.

The three ways school software is sold in Pakistan

  • Per student, per month

Commonly advertised between about Rs 15 and Rs 50 per student per month, depending on the vendor and the tier. Cheap at the start and the only model whose bill rises every time you admit a child.

  • A fixed monthly price, banded by size

A flat rupee amount that covers a school up to a certain number of students, staff and campuses. Predictable inside a band; the step up happens when you cross one. This is how Synthixx Campus is sold.

  • A lifetime licence, paid once

Usually a large one-off figure. Whether it is good value depends entirely on what happens afterwards — hosting, updates, security fixes and the next time a board or a payment method changes.

What each model costs a real school

The figures below are published ranges for the Pakistani market as we read them in October 2026, next to our own current prices, which are taken live from this site’s plan catalogue. Check any vendor’s number against their own page before you decide anything — including ours.

Read the first row honestly: a small school on a Rs 15 per-student plan pays less than our Starter plan. We are not the cheapest option in Pakistan and do not claim to be. Read the last row the same way: by the time a school is past a thousand children, a per-student bill has usually passed us and keeps climbing, while ours does not move inside a band.

The twelve questions to ask any vendor, including us

  • What is the price at double our current roll?

The honest answer is a number, not "we'll discuss it". If the model is per student, do that multiplication before you sign.

  • Do you take any percentage of fee collection?

On a year of collection this is often larger than the software itself.

  • Can parents see fees, attendance and results themselves?

If the answer is "the school can send them", the office is still the bottleneck.

  • How quickly does a parent learn their child is absent?

Same morning or same evening is the difference between a safety feature and a report.

  • Can one account hold every branch?

And can a campus admin be stopped from seeing the other branches?

  • How often is our data backed up, and how far back can we go?

"We back up" is not an answer. Ask for the frequency and the retention.

  • Can we export everything, and what does that cost?

If getting your own records out is an extra charge, that is worth knowing on day one.

  • What happens to our data if we stop paying?

Suspended, or erased? Ask, and ask for it in writing.

  • Can we try it before we buy, without a salesperson?

A live demo answers more than a scheduled call does.

  • Who else can see our students' records?

Including inside the vendor. Ask how separation between schools is enforced.

  • Is the price published?

A vendor who will not put a number on a page is quoting each school differently.

  • What is included that we will not use?

You are paying for it either way; better to know.

Where we are honestly not the right answer

  • You need accounting, not fee records

We record what was charged and what arrived. We are not a general ledger and do not file your tax.

  • You want online courses and video lessons

Homework, announcements and results are here; a learning management system is a different product.

  • You want to pay once and never again

We are a subscription. If a lifetime licence is what your board has approved, a licence vendor will suit you better.

  • You want the lowest number on the page

There are cheaper entry plans in this market. If price is the only axis, you will find one.

  • You have no internet at the school at all

It runs in a browser. An unreliable connection is survivable; no connection is not.

What we would put in our own column

  • Your school's data is walled off in the database

Separation is enforced by database rules, not by a filter in the code that somebody can forget. One school cannot read another's students, fees or marks.

  • Backed up every night, thirty days kept

A full copy of your school is taken each night and the last thirty are retained, so a bad afternoon is recoverable, not final.

  • A recycle bin, because people delete the wrong row

Deleted records go to a bin instead of disappearing, and can be restored.

  • Your data leaves whenever you want it

Students, fees and payments export to CSV from inside the app. There is no hostage-taking and no fee for getting your own records out.

  • Encrypted on the way, and on the way back

Every connection is HTTPS, enforced, and the pages refuse to be framed by another site.

  • We never take a cut of your fees

Parents pay the school the way they already do and the office records it. The money goes into the school's own account, not ours.

  • Priced per school, in rupees — never per student

Enrolling more children does not raise your bill in the middle of a session.

  • Certificates anyone can verify

Each certificate carries a serial number and a QR code that resolves to a page saying whether it is genuine or cancelled.

  • You can look before you decide

A live demo opens with a school already full of data, with no account and no card, and a paid plan starts with a free trial.

How to run a fair trial

  1. 1Open a demo first, with nobody watchingOurs needs no account and no card, and deletes itself after two hours.
  2. 2Pick one month and one classEnter that month's fees in the new system and in your register, side by side.
  3. 3Check the parent's view, not the admin'sSign in as a parent. If that screen is thin, the product is an office tool wearing a portal.
  4. 4Try to break the arrears listRecord a part payment, a discount and a sibling. The number at the end should still be right.
  5. 5Export everything before you commitIf the export is awkward now, leaving later will be worse.

Questions schools ask us about comparing

Is Synthixx Campus the cheapest school software in Pakistan?

No, and we would rather say so than be caught saying otherwise. Several Pakistani vendors publish entry plans below ours, and a small school paying Rs 15 per student will pay less than our Starter plan. What you are comparing is what the money covers: whether parents get a portal, whether attendance reaches them the same morning, whether certificates can be verified, and whether anybody is taking a percentage of your fee collection.

What is wrong with paying per student?

Nothing, until you grow. A per-student price rises every time you admit a child, which is the moment a school can least afford a bigger bill, and it makes next year's cost impossible to budget. Ask what the price becomes at double your current roll before you sign.

Is a lifetime licence cheaper in the end?

It can be, and it can also leave you running software nobody updates. Ask who pays for hosting after the licence, what happens when a payment method or a board requirement changes, and whether security fixes are included or quoted separately.

Does anyone take a percentage of our fees?

We do not, and you should ask every vendor the same question. Some systems sit between the school and the parent as a payment gateway and keep a share of each transaction. On a year of fee collection that is usually the largest number in the whole comparison.

How do we test software without disrupting the school?

Open a demo and try it with data that is not yours, then run one month of fees in parallel with your register before you switch anything off. Any vendor unwilling to let you look before you pay has answered a different question.

What should we do with our existing records?

Export them from the old system before you leave it, and check that the new one can take them. Students, classes and fee amounts should import from a spreadsheet, and you should be able to get them out again as CSV at any time.
