Who we are

Synthixx Campus (“we”, “us”) is a school and university management service at school.synthixx.com, a product of Synthixx Technologies. You can reach us at info@synthixx.com or through our contact page.

Each school decides what information about its students, parents and staff it puts into Synthixx Campus and who may see it. The school is responsible for that information; we store and process it on the school's behalf to provide the service.

What we collect

• Accounts: name, email address and sign-in details of school staff and administrators. Passwords are stored only in hashed form by our authentication provider.
• School records entered by the school: students (name, class, roll number, photo), attendance, results, homework, timetables, fees and fee payments, library, transport, health notes and documents the school chooses to record, and staff and payroll records.
• Parent and student access: parent and student portal accounts linked to one student, created when they sign in with the school code and Student ID code; parent names, phone numbers and email addresses the school records.
• Payments: subscription and fee payment amounts, methods and transaction references. We do not collect or store card numbers.
• Notifications: the phones or browsers a person turns alerts on for, their notification choices, and an email address they add for alerts.
• Security and service records: activity and audit logs of actions taken in the app, and a one-way hash of the network address used to send the contact form (to stop abuse).
• Messages to us: what you send through the contact form, by email, or to the help assistant on our website.

How we use it

• To run the service for the school: records, portals, reports and payments.
• To send the alerts and emails the school or the person has turned on — for example telling a parent their child was marked absent or reached school.
• To keep the service secure: sign-in checks, two-step verification for the platform control centre, audit logs and abuse prevention.
• To back up each school's data every night and to restore deleted records when asked.
• To answer support requests and improve the service.

We do not sell personal information and we do not show advertising.

AI features

When someone uses an AI feature (the assistant, drafting a notice, generating a timetable, a report-card remark), the text of the request and the school information needed to answer it are processed by our AI service provider to produce the reply. For school administrators the assistant uses a summary of the school's records; phone numbers and contact details are left out. AI replies can be wrong and should be checked before they are relied on. Each school has a daily limit on AI requests.

Who we share it with

We do not sell or rent personal information. We share it only with trusted service providers that help us run Synthixx Campus — for hosting, secure data storage, sending email and alerts, and AI features — and only as needed for that purpose. They are required to keep it confidential and secure. Information may be stored and processed on secure servers outside Pakistan.

We may also disclose information when the law requires it.

Children's information

Information about students is entered by their school, and students sign in with codes their school gives them. Schools must have the authority, including parents' or guardians' consent where required, to record and share this information. Parents see only their own children, and staff limited to one campus see only that campus.

How we protect it

• Encrypted connections (HTTPS) for everything.
• Database rules that keep each school, campus and child separate, checked on every request.
• Two-step verification for the platform control centre.
• Nightly backups kept for 30 days, and a recycle bin for deleted records.

How long we keep it

We keep a school's information while its account is active. If a school leaves, its administrators can export their data, and we delete it on request. Backups are replaced on a rolling 30-day cycle.

Your choices and rights

• To see, correct or delete information about you or your child, contact the school first; you can also write to us at info@synthixx.com.
• You can turn phone alerts and email alerts on or off from the bell in the app, and every email has an unsubscribe link.
• School administrators can export their school's data at any time.

Cookies

We use only the cookies needed to keep you signed in and to remember which school you are working in. We do not use advertising or tracking cookies.

Changes

If we change this policy we will update this page and the date above, and tell school administrators about important changes.
